Data Retention Schedule

This page explains, in everyday language, how long different kinds of information stay in Helo Echo and what happens when that time is up.

Every document you save — a note, journal entry, worksheet, assessment, or transcript — is kept for three years from the day it was created, unless the practice chooses a longer period (1 to 50 years). When that time is up, the document is permanently deleted, whether the account is active, archived, closed, or no longer linked to a therapist. About 30 days beforehand we try to email the client and the therapist so either of you can sign in and save a copy. Session audio is never stored: it is destroyed as soon as it has been turned into text. Sign-in and access links are short-lived, encrypted backups roll over within 35 days, and security audit logs and billing records are kept for six and seven years because the law requires it.

A documented legal or preservation hold is the only thing that delays a scheduled deletion, and it must be requested before the deadline. Anything you download or print is outside Helo Echo and is yours to keep. For an export, correction, retention-setting, or deletion request, email info@heloecho.com.
